The incumbent serves as the primary point of contact for the Mayor's Office and is responsible for performing a variety of secretarial and administrative support duties. These include, but are not limited to, managing office traffic, answering multiple phone lines, and ensuring smooth day-to-day operations. This position requires a high level of professionalism, hospitality, and customer service in all interactions.
Job Duties
* Provide good customer service to both internal and external customers; maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive.
* Serve as the initial point of contact for the Mayor's Office. Provide information and assistance to the public. Responsible for answering multiple phone lines, evaluating inquiries, and addressing questions, complaints, or concerns or directing them to the appropriate person or department for a resolution.
* Receive, date stamp and distribute incoming mail daily.
* Assist in the preparation and distribution of City Council Meeting packets both in digital and print.
* Monitor city hall via video cameras from the Mayor's Office and assist people as needed.
* Assist the Mayor's office in coordinating special events for city hall meetings.
* Monitor and manage office and hospitality supplies on a daily basis to ensure they are fully stocked and readily available.
* Perform other duties as required or assigned.
Minimum Qualifications
* High school diploma or GED and 2 years of related experience and/or training.
* Must be proficient in the use of a personal computer with Microsoft Office Suite, PDF software, printer, fax machine, copier, telephone, and adding machine.
* Must have high level understanding of how to use the internet.
* Ability to utilize both internal and external resources to obtain information and data necessary to carry out routine assignments and special projects.
* Demonstrate a service-oriented and professional demeanor when interacting with the public.
* Must have ability to establish and maintain effective working relationships with management and staff.
* Must have a working knowledge of each city department and the services they provide in order to connect the public with the department that can assist them.
Supplemental Information
Must successfully pass criminal background check, including but not limited to convictions, guilty pleas, or no contest pleas to violent offenses, theft offenses, and offenses against children.
